Data Extractors
Online help for mining data from QuickBooks with CleverQ (RDE) Report Data Extractors. Quickbooks Data Extraction can integrate data sources from multiple Quickbooks reports.
- Choose the report you wish to extract. To expand the tree, click on the + or - signs. To see more information on the individual report data, go to the end of this page and Click on the Report name.
- Filters must first be set up in preferences which is accessed through the navigator or from the drop down setup menu.
- It is suggested that the filters be named the same way they are spelled to the left of the filter drop down boxes. Spelling your filters the same as in QuickBooks will avoid confusion of their meaning. However, if for example, you are using classes for locations or departments, you may want to rename the Class Filter to the respective word to give more meaning to dashboards, gauges, and reports.
- Select only the filters needed for filtered dashboards, gauges, and reports. Change all un-needed filters to <No Filters>.
- Use Job tracking must be turned on from the Options tab if you with to extract data filtered by job.
- Extract only reports that you will need for analytics. leave the reports that are not needed with 0 years or days to skip extracting the report. This will keep the CleverQ data file (.qdb) file at a smaller size which will increase performance.
- 0 years or days will skip this report extraction. 1 year will extract only the current fiscal year set up in preferences. 4 years will extract this year+3 previous years. After the initial extraction, it is recommended to change the monthly data to a minimum such as 1 to speed up later extractions. Since most companies do not make changes to prior years, it is not necessary to extract prior years more than once. If one year is selected, the entire year to date of data is re-extracted in the case that a company has changed data in a prior month.
- If any list is changed within Quickbooks - such as merging, renumbering, changing child or parent items, renaming items - Be sure to purge the data and reload new data. This will help ensure data integrity. It is ok to resort lists in QuickBooks which will not effect extracted data.
- For single company extractions only, if you would like to see the report in QuickBooks as it is being extracted, open QuickBooks from the QuickBooks Setup tab first, then select Show Report in QB.
- Extracted Data can be viewed and compared to QuickBooks with the View Extracted Data button.
- Extract This Data Now will only extract the current report. To extract all reports at the same time, go to the extract tab.
- Calculate Totals is only necessary if you wish to see graphs by Week, Annual, or Quarter. Metrics for gauges are automatically totaled using the monthly or daily data. if unchecked, your graphs will be by month or day respectively.
- Clearing settings will remove any settings for the viewed report extractor.
- All Rows & All Columns is only used if data that has no data or zeros is needed to be loaded. This will load the report sources needed to map parameters. Checking these options will load the data base with many zeros and will enlarge the data base. If this option is used, it is advised to purge and reload the report without the options checked after needed parameters are mapped.
- Remove detail will delete any data that does not have the word Total. For large reports such as Items Lists which have Parent accounts for totaling and unneeded details, the data in the Quickbooks report not including the word "Total" will be deleted.
- The CleverQ Bundled Definition (.qbd) data file to which data is being uploaded is shown at the bottom of the form.
